The i-Team® is delighted to have received the UK Technical Communication Merit Award with judges’ commendation from the Institute of Scientific and Technical Communicators (ISTC) – the largest UK body representing information development professionals. The award was for the Commonwealth War Graves Commission Horticulture Manual and Training Guides. The manual and guides were developed as part of the Commission’s new global training programme to improve and standardise the maintenance of the two World War cemeteries and memorial sites across 150 countries, reflecting their ongoing commitment to honouring the memory of those who sacrificed their lives. This award is a testament to the important role of technical writers and their work, often behind the scenes, that can go unnoticed. Technical writing extends far beyond the creation of documents. It has a profound impact on public safety, environmental protection, scientific advancement, and, in this case, the respectful remembrance of history. The i-Team®’s commendable work exemplifies how technical communication can influence society positively and support endeavours of historical significance.

Background to the project

Commonwealth War Graves Commission (CWGC) is a global leader in commemoration. Founded by Royal Charter in 1917, CWGC works on behalf of the Governments of Australia, Canada, India, New Zealand, South Africa and the United Kingdom to commemorate the 1.7 million individuals from the Commonwealth who lost their lives in the two World Wars. CWGC’s vision is that every lost life is commemorated equally: as their sacrifice had been common, their commemoration should also be common. The production of a comprehensive horticulture manual and training guides to ensure equal standards are applied across every site and headstone is paramount to that vision.

The i-Team® played a fundamental role in CWGC’s vision, materialising the manual’s objective to bring together modern technology, the latest scientific discoveries and the Commission’s experience over the last hundred years to define ‘best horticultural practices’.

Spanning over 12 months, The i-Team® researched various areas of horticulture, reviewing existing literature, articles, web content and blogs, as well as videos and lectures, to identify and document best practices in horticulture. A new manual was created, supported with professionally-created illustrations and photographs. The manual was also translated to multiple languages. Accompanying training guides with activities and tests were subsequently produced to support CWGC to train its global staff effectively. For ease of navigation and to reduce the need for printing, a complete responsive HTML manual was also delivered, that can viewed online or standalone from smartphones, tablets, laptops and desktops.

Not only was the manual aesthetically pleasing, with colourful images of principal plants, shrubberies and ornamental features, but it was also designed to be accessible and comprehensible by audiences with varying skills, qualifications, knowledge and literacy levels. As such, the manual and training guides presented technical information in a simplified way, using graphics, real photographs and illustrations.

Contribution and impact of the deliverables

The revised manual and accompanying training guides are now essential components of CWGC’s global training programme. They offer not only practical support for the upkeep of these historical sites and their irreplaceable design and architectural features, but they also fulfil a duty of care that is far greater than just the preservation and safeguarding of heritage.

The training guides, covering three levels, allow training to be customised depending on individual job requirements and expertise, providing support to beginners and opening further opportunities for the Commission’s experienced staff to excel in their preferred area of horticulture.

Recognition and award

CWGC summarises the benefits of The i-Team®’s work through this testimonial:

“Motia and her expert team have been amazing, providing a clear project plan, regular catch ups and excellent communication. The project was relatively complex with a mix of old and new material needing to be pulled together into a professional technical manual. The team developed and refined a superb resource for us, utilising our brand guidelines but developing a professional identity for our resources.” Adam Blunt, Senior Technical Training Consultant, Commonwealth War Graves Commission

The outstanding work of The i-Team® was undoubtedly recognised by the UKTC Award judges in their praise for the “impressive” project and “exciting entry”. Awarding across a number of attributes including, background, design, graphics and text, praise for The i-Team®’s “effective, consistent and well-executed” work was echoed as repeated feedback throughout the commentary. The judges also notably recognised both The i-Team®’s passion and work ethic, noting that the team “felt very strongly about the value of the entry” and rounded off their comments by duly mentioning the “incredible” amount of work poured into the project.

The i-Team® is truly honoured to have been given the opportunity to contribute to the great work of the Commission and winning the UKTC award not only affirms The i-Team®’s belief in the important contribution technical authors make to society, but that it also exhibits The i-Team®’s unfaltering dedication, spanning over two decades, to a service that provides professional, consistent and effective technical information.

The i-Team® was established in May 2004, specialising in the development of domestic appliance user manuals. Today, The i-Team® is a market leader in the technical communications industry, providing a complete technical documentation development service across the UK, Europe, Middle East, Asia and Africa. The business started in Yeovil with a single client – a kettle manufacturer – and now on its 20th anniversary celebrates having a London-based office and 100+ clients across multiple sectors: banking and finance, gas and oil, software development and horticulture, to give a few examples.

Key to the success of the business has been its ability to put together a tailored team based on project specifics. With its trained and dedicated team of project managers, technical authors, instructional designers, illustrators and editors, The i-Team® has over the 20 years supported businesses to manufacture and launch products, develop software solutions, make organisational changes, implement standard operating procedures and develop global training programmes. It also takes pride in having worked with the UK Government to explore best practices in product manual writing.

The business celebrates a wonderful working culture with high staff retention rates. It allows complete flexible working. The owner of the business says, “As long as our clients are happy and deadlines are not missed, our team of technical authors can work whatever days of the week they want at whatever hours of the day. I don’t believe in micro-management, but I strongly believe in quality control. Quality control is not about micro-management but careful planning, clear communication, appreciating people’s differing circumstances and maintaining a good relationship with each and every one of your staff. People make more mistakes when micro-managed than when trusted to deliver, which is why at The i-Team® we have a flexible approach to work but a strict adherence to our quality control measures. My longest serving technical author of 15 years works from a narrowboat, often navigating during the day and producing quality documentation during the calmness of the night!”

If you don’t do it well, you’ll get unnecessary enquiries to your helpline or customer support department and dissatisfied customers who might not come back. This article discusses some of the points to consider.

What assumptions can you make about the reader’s existing knowledge of the subject and related technology; for example, if the manual is to describe the installation of a gas detector to an existing smoke detection system, will the reader be well-informed on smoke detection, but new to gas detection? Sometimes, the audience can be very well defined, such as military personnel. At the other end of the spectrum, the audience could be members of the general public and therefore vary considerably in their existing knowledge.

If you expect to use a lot of cross-referencing, it’s best to use numbered headings. It’s important to employ best practice by using the features of the application, such as styles and automatic numbering, cross-referencing and contents lists, to ensure accuracy, ease of updating and consistency. You need to be consistent in the writing too, so that the same item or function is always referred to by the same term. Consider the readership and purpose of the manual as you write and review what you have written. If at all possible, get somebody independent not only to proof read it, but also to validate it against the product – your customer should not be the guinea pig!

If you’ve never experienced it, or have suffered a bad example of it, you might conclude that it’s used, rather as someone explained why they climbed a mountain, “because it’s there”. That would be a pity, because it offers many benefits, which are introduced here.

Clearly a computer is an ideal means of providing distance learning, or distance education, where students do not have to be physically at an educational establishment, or in a classroom. Although the training material could be distributed by CD-ROM or DVD, almost ubiquitous Internet and intranet access allows it to be made available online, subject to bandwidth considerations for some material. Distance learning has become a well-established and recognised approach to education, with courses to degree level. Computers are playing a big role in this, offering both synchronous learning, where students attend a collaborative virtual classroom with a teacher/trainer according to a specified schedule, and asynchronous learning, where students access the material at their own pace.

Asynchronous learning may also be described as “self-paced learning”, in that it allows the pace at which students progress through a course to be determined by their ability and existing knowledge and experience, as well as their availability. At its simplest, this pacing can result simply from the student accessing the material when they are available, or when they feel able to move on in the course. However, this approach fails to take advantage of the interactivity and functionality that a computer application can provide. A computer-based course can include branches, which a student can choose to follow in order to learn more detail about a particular item, according to their existing knowledge; this knowledge can be tested at that point, resulting in a recommendation to follow a branch, or indeed to force that route, if a question is not answered correctly. Similarly, progression through the course can be dependent upon correctly answering questions at certain stages. This process need not be open-ended and can be subject to quite rigorous controls.

Sometimes, it can be beneficial to describe something in two alternative ways, in order to reinforce a particular piece of information, or a concept. We prefer an approach whereby, after introducing a subject, the course will include a quiz of one, or a short number of questions, to test a student’s assimilation of the subject. When they answer correctly, they are allowed to move on, probably to the accompaniment of a congratulatory reinforcing statement; if they answer incorrectly, they can be offered another chance, accompanied by a hint (“have you thought about…?”), which also reinforces the learning process. We would not normally regard such quizzes as part of any formal assessment.

Students can be assessed for assimilation of the material by presenting them with one or more tests, each comprising a number of questions, perhaps at the end of each module. The questions would usually carry scores, which can be weighted according to their significance, so that each test results in an individual module score and these can be aggregated into an overall course score. Progression from one module to the next can be conditional upon achieving a predetermined pass mark and full completion of the course upon aggregating an overall pass mark; this can lead to the on-line award of a certificate, which can carry a unique randomly-generated authentication code.

Whether the questions are for reinforcement or assessment, varying degrees of randomisation can be introduced. Although completely free text answers are notoriously difficult to manage reliably, there is much scope to extend beyond simple multiple choice and we have developed means of introducing students’ own entered data into the course, resulting in answers unique to themselves, without jeopardising reliable assessment.

What of the content? I have seen many examples of CBT where the content is little more than an on-line version of documents and presentation slides that could equally have been sent through the post, admittedly at greater expense and impact on the environment. This is such a waste of the power of the computer. I have touched upon the interactivity that can be included in terms of branching, but this can be extended, for example, to selecting specific items of information (from text to other media) to view from a screen, to give an extra bit of involvement. The different media types available through a computer, such as animation, software simulation & demonstration, video and audio, together with the underlying ability to manipulate student-entered or other data, can all add to the learning experience and assist in assimilation of the essential content.

We are able to manage course enrolment, access periods, progress, assessment, certification and communication through our Learning Management System (LMS), both for our clients and, quite recently, to the public, with payment facilities. The LMS The i-Team has adopted is Moodle, which is used by many academic institutions worldwide. If your company has an LMS and you need to know if our courses can be SCORM or AICC compliant, the answer is “yes”. Assessment can be independent of an on-line course and provided via our (or your) LMS, in order to evaluate students who have participated in classroom training; this can be controlled to minimise the opportunity for unwanted collusion.

A piece of persuasive writing is powerful enough to influence our thoughts and compel us to act instinctively.

Good writing extends further than correct punctuation, grammar and spelling. It is a work of art that engages the reader by responding directly to their needs and interests. It is about conveying a message simply and concisely, without diluting the essential point.

A well written document has carefully selected language and words. Its tone is in harmony with its audience. It flows smoothly and effortlessly, articulating clarity and sincerity. It is not a spillage of convoluted jargon, but a masterpiece brushed with a stroke of tactful simplicity.

Many commercial companies do not achieve their potential because they fail to successfully define their idea to people. They underestimate the power of good writing. In a world where communication essentially comprises written proposals, emails, website content and social media updates, it is the backbone to success.

Companies need to further realise the potential in different writing formats that serve a variety of purposes.

Everyone has sat in a classroom at one point or another—the physical set-up has been the standard educational standard. However, like COVID-19 changed the way we work and the way we live, the pandemic has also propelled the use of digital platforms, leading to a stratospheric rise of E-Learning platforms and online courses. There are many factors that impact learning environments, from the quality of teaching, resources and accessibility. In a post-pandemic world, with both choices of physical and remote learning at our fingertips, we’ve set down the pros and cons of both so that you can decide which is best for you.

Quality of education and access to resources

When it comes to a traditional classroom setting, students have the benefit of direct interaction with expert instructors who can provide immediate guidance, additional explanations and practical demonstrations. Aside from teachers, learners also have immediate access to physical textbooks and other educational resources, bolstering their learning. Face to face discussion and debate can be an invaluable tool for explaining complex ideas.

In comparison, E-Learning lacks the direct access to instructors. Whilst it may be possible to message or email teachers, there may not be an immediate response. However, E-Learning benefits from the ability to access a wide range of online resources, from videos, interactive modules and virtual simulations. Moreover, whilst traditional books and resources may contain outdated information, online resources can be continually updated with the latest information to ensure the most effective learning. With access to online information, students can also study the materials at their own pace, allowing them to read and reflect on the information as best suits them.

Flexibility and Convenience

Classroom learning can create a sense of structure and organisation for those who struggle with managing their own time. With a fixed schedule and expectations of face-to-face attendance, this creates a consistent and dependable structure to ensure continuity for students. However, the rigid structure of classroom learning can be challenging when working around fixed work routines, leading to missed learning if scheduling conflicts occur.

E-Learning is particularly attractive when it comes to flexibility, offering unparalleled convenience for learners of all ages. The ability to learn at your own pace, working around any schedule, and from anywhere in the world creates a sense of independence. Moreover, students can tailor their learning to focus on content relevant to them, rather than learning from a standardised course. Yet, there are also limitations. Good internet access plays a significant role in a virtual class, as anyone who’s had an online meeting will know! There is always the chance of a slow connection, or lack of internet altogether. Whilst the independence of E-Learning can be a benefit, little fixed routines can lead to delays and distractions, especially for those who struggle with organisation.

Personalised Learning

Whilst it is true that classroom learning provides structure and consistency, fosters collaborative learning with peers and real-time clarification from instructors, there are few opportunities for personalisation overall. Classroom learning often follows a standardised curriculum, so whilst every student is undoubtedly unique, all learners are expected to progress at the same pace. This can limit the ability of students to explore subjects in depth or move ahead if they grasp concepts quickly. In this one-size fits all teaching method, it is impossible for every student’s pace to be accommodated.

In comparison, E-Learning pulls ahead when it comes to student personalisation, offering unparalleled personalised learning paths that cater to every student’s needs and interests. The ability to access lessons at their own pace allows students to accelerate forwards or spend longer on more challenging topics. The use of multimedia and adaptive technology also provides targeted use of resources, helping individuals to fill in knowledge gaps and improve comprehension by accommodating for diverse preferences. E-Learning wins this round!

Interaction and Engagement

Whilst classroom learning will not be specifically personalised, the opportunities for interaction and engagement with peers and instructors fill this gap. By creating a sense of community and collaboration via face-to-face discussions, group projects and class presentations, students can learn to communicate effectively with others, build relationships and practise teamwork. These soft skills are just as crucial as formally learnt principles. In terms of the teaching itself, students are also less likely to be distracted in a physical environment, surrounded by likeminded students, and under physical teacher supervision. Furthermore, receiving non-verbal input from instructors can accelerate learning through use of facial expressions, movement and body language.

Comparatively, the independence of E-Learning can also be a double-edged sword creating a distinct lack of interpersonal connections with peers, as well as communication and clarification from teachers. Whilst classroom learning fosters practical experience, E-Learning cannot benefit from physical interactions or activities practised in real time to bolster learning. However, online courses can often include interactive elements such as discussion boards, virtual simulations and multimedia resources to enhance learner engagement. Interaction is thus not completely hindered.

Monitoring Progress

Following from the physical interaction provided by classroom learning, the physical set up also guarantees student attention and good teacher monitoring as both teacher and student are present in the same space. Without the chance of other distractions in a home-space, such as children, television or other outside distractions, students can maintain concentration under routine teacher observation.

Yet, manual tracking is required in the physical space, needing intentional teacher monitoring at all times. In comparison, E-Learning can use a Learning Management System (LMS) to closely monitor student progress. This can automate the distribution of materials and also track which materials are accessed by which students. Moreover, online quizzes and their solutions can be automatically sent to the teacher in a report, streamlining teacher monitoring and removing chances of error.

Costs

Classroom learning does open up more costs for students. Aside from the learning itself, students must contend with commuting costs, expenses, meals and even accommodation. Yet, this is also balanced by the physical access to quality facilities such as laboratories, libraries and even networking opportunities, respective to the course.

In comparison, E-Learning can be more cost-effective than classroom learning. There are no additional expenses regarding commuting or accommodation, given the flexibility to learn in the comfort of one’s home. Moreover, many online courses provide flexible payment options, for example, monthly subscriptions or pay-as-you-go schemes. Yet, there may also be some hidden courses, especially associated with technology. E-Learning necessarily depends on high-speed internet access, or the relevant software or hardware needed for certain courses.

The toss-up between classroom and E-Learning therefore depends on a wide variety of factors. Whether you value independence and flexibility, or interaction and structure, there is definite value in both, depending on a variety of learning styles. In the digital age, convenience is key, and time is a valuable resource. Therefore, whichever method you decide on, there is every chance of your personal growth and success.

Technical writing has always been important, but in today’s information-driven and technologically advancing world, the ways in which documentation continues to adapt and develop means that technical writing is becoming ever-more crucial. Here’s why, in 2024, clear and concise technical writing should be taking centre stage.

Fundamentally, the core principle of technical writing is making complex topics understandable, whether that may be instructions, manuals or reports, to a plethora of audiences, from industry professionals to general users of a product or service. In other words, any industry that offers a product or service— a large chunk of our consumer-driven world—relies on technical documentation. This is both as a legal requirement, and to facilitate informed decision-making for their customers. The transferral of complex industry jargon to user-friendly, universal language often is the difference between a customer being sold on a product that they can understand and therefore trust in, and a service that alienates the user. Clear communication is therefore the bedrock of technical communication, bridging gap between experts and customers efficiently and accurately.

As alluded to, the ever-increasing demand for the production, distribution, and consumption of goods/services depend on the question ‘how is this done?’ being answered. As goods and services are becoming more technologically advanced, it is fundamental that this question is answered in clear language. Clarity is important for public safety, preventing errors, loss of time, and money, instead allowing systems and products to complete tasks. With clear instructions in place, this improves efficiency, ensuring products are used as intended whilst preventing dangerous use at worst. Though customer care is integral, not having technical documentation can also cost a business money—unhappy customers result in lost sales, or less return sales, high customer service expenses and pressingly, fines or penalties from regulatory bodies.

Whilst all these reasons are entrenched into the well-understood importance of technical writing, in 2024 and beyond, technical writing looks forward to an evolving role as information-sharing becomes ever more dynamic. Though traditionally, STEM industries have primarily required technical writing, technical documentation has an expanding role in the digital landscape, expanding to include sectors such as healthcare, finance and marketing. Whilst written documentation has a set a long-standing norm when it comes to instructions and manuals, technical writing may also be growing via online content creation, to produce instructional videos or interactive tutorials. Technology therefore not only impacts the industries requiring technical writing, but the terrain of technical writing itself. Given the rise of Virtual Reality (VR) assisting product design processes, and the increasing use of AI for predictive analytics, technical writers must shift the way they work, opening up exciting opportunities to push the boundaries of how information is both generated and delivered.

Whether you look at the way technical writing has upheld products and services across sectors for decades or look forward to the many ways technology development is calling for more innovative documentation, the bottom line is that technical writing will continue to be fundamental as the demand for clear and concise information-sharing continues to grow across various industries today.
